Club committee 2006

All committee members are expected to:


Chairman

Nick Collinson shows Airlux top to good effect finishing strongly at HIMUK 2004...

Our club chairman is Nick Collinson. Nick's role:
  • Organise the committee meetings, AGM etc

  • Write agenda, with input from committee

  • Chair committee meetings

  • Progress ideas from members through the committee

  • Chair AGM

  • Bank account signatory

  • Casting vote if required at AGMs (in current constitution)

  • Convene EGMs as required

  • Ensure constitution is followed/ reviewed

  • Oversee all committee activity with relevant/ all committee officers


Secretary Our long-suffering club secretary is Simon Palmer. Simon's jobs come under two basic headings:

General Secretary

  • Application for BTA membership

  • Application for SEAA membership

  • Application for CTT membership

  • Inform members of above’s AGMs. Send apologies if we are unable to tell anyone.

  • Filter junk mail / spam from outside agencies

  • Apply for London Marathon places.

  • Act as contact for BTA and outside agencies.

  • Fill in data for outside agencies  e.g. Ipswich Borough Council SEAA

  • Convene meetings and write an agenda (this role should now be filled by the chair)

  • Take minutes for committee meetings and distribute to committee members.

  • Take minutes for AGM and distribute to members as necessary.

Membership Secretary

  • Print and distribute membership forms annually

  • Collect information and maintain membership data

  • Respond to queries from prospective members.

  • Phone (not email) new members to welcome them to the club and write a line or 2 for ITCH and put them in contact with buddies or meet them myself.


Men's captain

Our men's captain is Gary Matthews. Gary's job:

  • Represent the ITC in a positive way

  • Encourage and motivate new and existing male members

  • Support the committee and male members in club activities

  • Whenever possible organise a representative men’s team for events


Ladies' captain

Our ladies' captain is Tonya Antonis. Tonya's role:

  • Represent the ITC in a positive way

  • Encourage and motivate new and existing female members

  • Support the committee and female members in club activities

  • Whenever possible organise a representative ladies team for events.


Treasurer

Our treasurer is Nik Bestow. Nik's responsibilities:

  • Maintain the accounts of the club

  • Keep the committee informed of the financial situation of the club

  • Propose subscription fees at the AGM

  • Prepare a yearly Statement of Income and Expenditure to be presented at the AGM

  • Ensure that club funds are not used for any purpose, which is not in the best interest of the club and its members (with the exception of donations to registered charities which have been approved by the Committee)


Development officer
Our development officer is John Gabriel. John's remit:
  • To submit proposals for Annual Development Plan for agreement with main club Committee

  • To arrange delivery of agreed plan by use of internal & external resources


Race coordinator

Jeff irving is our race coordinator. Jeff's jobs:

  • To act as central point of contact for club organised events, including venue organisation and BTA liaison.

  • Coordinate and organise race meetings

  • Coordinate marshalling duties for club organised events

  • To provide support to race organisers as and when required

  • Enter the club into National and Eastern League series


Communications
& webmaster

Charlie Stannett looks after our website and tries to make it seem very important by having the longest job description

The primary role of the “communications & webmaster” officer is to facilitate - to the best of their ability as an unpaid, part-time volunteer - the effective and efficient use of the internet and other “office automation” tools to

  • support the coherence of the Ipswich triathlon club
  • maintain the integrity of the Ipswich triathlon club brand
  • help publicise club-promoted open events
  • provide a "front door" for e-mail enquiries about the club and its events

Specifically this includes:

  • maintaining a club website which, as a minimum, provides:
    • a list of the club’s promoted, open-entry events, their dates & other details as soon as possible after notification by the relevant race director that they have been confirmed;
    • basic notification of club members' benefits & members-only events;
    • information for potential new members;
    • a "mailto" address for people wishing to make enquiries;
  • liasing with an appropriate service-provider to maintain control of the club's domain names www.ipswich-tri.org and www.ipswich-triathlon.co.uk;
  • assisting with the design of club kit to tie in with the web presence and vice versa;
  • publicising the website and hence the club to other appropriate webmasters;
  • assisting with electronic distribution of the club newsletter and other items, but not propogating “junk” e-mail received from commercial and other third-parties;
  • assisting race directors in the publicity of events by seeking event listings in 220 and Runner's World and by notifying other, local club webmasters; but not replacing the responsibility of race directors to notify British Triathlon and other legally notifiable bodies.

The role-holder is expected to have a minimum level of hands-on, webpage-authoring ability. The role-holder is expected also to maintain a reasonable sense of humour at all times, even when the beer on offer isn't as good as beer elsewhere.
